Why This Matters
At Victoria Digital Marketing, protecting your business assets is our top priority.
That includes your Facebook Page, Instagram account, and ad data — which should always remain under your company’s ownership, not your agency’s.
To make that possible, we work through Meta Business Suite — Meta’s secure platform for managing your business presence across Facebook and Instagram.
We never ask for your personal login details. Instead, we connect to your assets through secure partner access. This ensures:
- Your company retains full ownership of all Pages, ad accounts, and assets.
- Our team can manage campaigns and content seamlessly.
- Access can be removed at any time by you.
- We stay fully compliant with Meta’s data and privacy policies.
What Is Meta Business Suite?
Meta Business Suite (also known as Business Manager) is a free tool from Meta that centralizes:
- Facebook Pages
- Instagram accounts
- Ad accounts
- Pixels and conversion tracking
- Product catalogs
- Roles and permissions
It’s designed for companies that work with agencies, multiple admins, or large teams — making it the safest and most efficient way to manage digital marketing assets.
Step-by-Step: Creating Your Meta Business Suite
Step 1. Go to Meta Business Suite
Visit business.facebook.com and log in with your personal Facebook profile.
(Your profile will not be publicly linked to your business.)
Step 2. Create Your Business Account
- Click “Create Account.”
- Enter your business name, your name, and work email.
- Click Submit.
You’ll now have a Business Manager ID — this is your company’s main dashboard.
Step 3. Add Your Facebook Page
- In your left menu, go to Business Settings → Accounts → Pages.
- Click Add.
- Choose “Add a Page” (if you own it) or “Request Access to a Page” (if someone else owns it).
- Type the name of your Page and select it.
Once added, you’ll see your Page listed under Accounts → Pages in your Business Suite.
Step 4. Add Your Instagram Account
- In Business Settings, go to Accounts → Instagram Accounts.
- Click Add.
- Log into your Instagram account to connect it.
- Approve the connection when prompted by Meta.
Step 5. Add Your Ad Account (if applicable)
If you’ve already run ads through Facebook or Instagram:
- Go to Accounts → Ad Accounts → Add.
- Choose “Add an Ad Account” (if you own it) or “Request Access to an Ad Account.”
- Enter your Ad Account ID (found in Ads Manager).
If you’ve never run ads before, we can create one for you once we’re connected.
Step 6. Add Your Team Members (Optional)
We recommend adding at least one other person from your organization (e.g., co-owner or marketing manager).
Go to Users → People → Add.
Enter their email, select Admin Access (so you can always manage agency permissions), and assign your business assets.
Step 7. Approving VDM’s Access Request (How the Email Process Works)
Once your Meta Business Suite is properly set up, our team will request access to your Page, Instagram, and Ad Account from the VDM Business Suite.
This process is fully secure and handled directly through Meta’s permissions system — no passwords, no external links, and no risk to your personal profile.
How the Request Works
- We send a formal access request to your business through Meta’s Partner Access feature.
- You’ll receive a notification from Meta Business Suite (and sometimes an email from Facebook for Business).
- The email will come from a legitimate Meta domain such as @support.facebook.com or @facebookmail.com.
- The subject line often reads something like:
“Victoria Digital Marketing is requesting access to your Page” or “You have a new partner request.”
- Where the request appears:
- The Primary Admin (the person who created your Business Suite) will receive the email.
- The request will also appear directly inside Business Settings → Requests → Received.
- If you manage multiple Pages, you’ll see separate requests for each one (Facebook Page, Instagram Account, Ad Account, Pixel etc.).
- How to approve:
- Open your Meta Business Suite and navigate to Business Settings → Requests → Received.
- Locate the request from Victoria Digital Marketing.
- Click Approve Access (or Respond to Request → Approve).
- Meta will confirm once the connection is active. You don’t need to share any credentials or grant full ownership — just approve the partner relationship.
- Once approved:
- Our agency can securely manage your ads, analytics, and content without ever accessing your personal login.
- You’ll see us listed under Partners in your Business Suite, and you can remove access anytime under Business Settings → Partners.
Why We Don’t Accept Passwords
For security and liability reasons, VDM does not log in using your credentials.
Here’s why:
- Sharing passwords violates Meta’s Terms of Service.
- It exposes both parties to security risks.
- It makes it impossible to verify asset ownership later.
- It can break platform connections if two users log in from different IPs.
By using official partner access through Business Suite, you maintain complete ownership and can remove access instantly at any time.
Long Term Benefits For Your Business
1. You stay the owner.
All assets — Pages, Pixels, and Ad Accounts — remain under your business name.
2. You can view everything we do.
Transparency matters. You’ll have access to all campaigns, analytics, and ad spend directly in Meta.
3. No lost data if you change agencies.
Your entire ad history and pixel data stay with your business, not your marketing provider.
4. Smoother collaboration.
Business Suite simplifies communication between teams, allowing easy toggling between personal and business assets.
5. Compliance and liability protection.
Our agency cannot be held responsible for account loss or security breaches on personal profiles. Using Meta Business Suite ensures full traceability and compliance.
Quick Troubleshooting Tips
If you get stuck:
- Make sure you’re logged into the same Facebook profile that owns your Page.
- Double-check Admin permissions — without them, you can’t add assets or partners.
- Visit Meta Business Help Center for official troubleshooting.
If you still need help, we’re happy to walk you through it during your onboarding call — we just can’t complete the setup for you due to platform liability restrictions.
In Conclusion
To proceed with campaign setup, ad management, or Page support, your Meta Business Suite must:
- Be created and verified under your business name.
- Include your Facebook Page and Instagram account.
- Have VDM added as a partner (not as an admin or user).
Once we’re connected securely, we can handle all creative, targeting, and optimization — while you maintain ownership and oversight.
